Why small apartments have a different problem

A large gated community often has a facility-management team, a clubhouse, several gates and hundreds of flats. Software for those communities is built around all of that.

A building of 10, 20, 30 or 50 flats usually runs differently. A few owners volunteer for the committee, one person looks after the money, a watchman collects maintenance, and nobody is paid to manage the building full time. The everyday questions are simpler but just as important: who has paid, what was spent, and how much is left?

Those flat counts are only examples of the kind of community we have in mind. They are not limits in the app.

For these communities, the right tool is one that a volunteer committee can understand in a demo and start using the next month, without training or a dedicated manager.

The manual way, and where it breaks

Many smaller associations run on some mix of a register, an Excel sheet, a WhatsApp group, UPI screenshots and handwritten receipts. Not every building uses all of these, but the pattern is familiar.

Each step works on its own. The trouble is that the record is split across notebooks, phones and chats, and it usually lives with one person. When owners ask who has paid or where the money went, someone has to piece the month together by hand.

Some steps are still done by people, and that is deliberate. The coordinator raises the dues, the watchman records what is collected, the coordinator confirms UPI payments against the bank account and checks cash handed over, and owners approve the monthly statement by vote. Financial transparency owners can follow

Transparency is the main reason small associations move to Nestie. Without asking anyone, an owner can see:

  • Money collected: the month’s collections and how many flats have paid.
  • Money spent: expenses by category, with the largest first.
  • Outstanding amounts: what is still due, including earlier months.
  • Monthly records: a statement with opening balance, income, spending and closing balance, approved by the owners.
  • Yearly records: their own flat’s dues and payments for the year, with receipt numbers, as PDF or CSV.

Nestie is record-keeping and transparency for the association. It is not statutory accounting software, and it does not do GST, audit or tax filing. More on this in apartment accounts and statements.

What Nestie intentionally does not try to be

Many large communities rely on features that Nestie deliberately leaves out. They are useful where they are needed, but a small building can often run well without them, and leaving them out keeps Nestie simple to adopt. Nestie does not include:

  • Visitor, gate and delivery management
  • Parking allocation and clubhouse or amenity booking
  • Vendor marketplaces, tendering and complex procurement
  • Guard or biometric attendance
  • A full accounting system, or automatic bank reconciliation
  • Native iOS and Android apps (Nestie runs in the phone’s browser and can be added to the home screen)
  • Collecting or holding money: payments go straight to the association

Questions from small apartment associations

Is Nestie suitable for a small apartment building?

Yes. Nestie was designed around the running of a small apartment building, with a volunteer committee, a watchman and owners who want to see the accounts.

Do we need a professional apartment manager?

No. Nestie is made for associations run by volunteers. A committee member acts as coordinator, and we set up the app for you.

Can owners see maintenance and expenses?

Yes. Owners see their own dues and receipts, the apartment’s collections and balance, and monthly statements with spending by category.

Can maintenance be paid using UPI?

Yes. The watchman can show a QR code for your association’s own UPI ID, and owners can pay by UPI from their login. Owner-reported UPI payments are confirmed by the coordinator against the bank account.

Does Nestie hold association money?

No. Payments go straight to the association’s own bank account or UPI ID, or to the watchman as cash. Nestie only records them and issues receipts.

Is Nestie accounting software?

Not in the statutory sense. It keeps the association’s money records and statements, and exports them as PDF or CSV. It does not do GST, audit or tax filing.

Can a watchman record collections?

Yes. The watchman has a simple collection screen for cash, UPI and bank transfer, and each payment gets a receipt. Corrections go through the coordinator.

Can we use Nestie for a standalone apartment?

Yes. A single standalone building is exactly the kind of community Nestie is built for. Buildings with more than one tower can group flats by tower.
